Pilot Users / Testing

Modified on Tue, 22 Oct, 2024 at 10:49 AM

As explained in your onboarding, when you create a new flow, it is automatically in Pilot mode. Pilot mode means that ONLY the pilot users will be considered for the sync and only if they are not excluded by the filters. For example, if you included a student as a pilot user but excluded students as part of the filters, that student will not be synced for the flow. Also note that the flows operate independent of each other.  You may add pilot users by click the "Pilot Users" link at the top right of the flow. Please wait for SchoolCal to pre-load your Google data before typing the email address of your user.

Automatic Sync may be turned on during your pilot. It honors the "Pilot mode" setting and will only push any updates, deletions or additions to the user's calendar.

While you are working on the template you may use the "Light Sync" button  at the top of the flow. This will just push your changes to users' calendars using the data already stored in SchoolCal (rather than pulling fresh data and then pushing). Please note that changes to the template or filter will not be immediately reflected in events UNTIL you either do a light sync or wait for the overnight sync, if you have that turned on. Also note, that if you decided to make a change in your Student Information System and want to see it reflected in your users' calendars, then you will need to use the green "Sync Flow Now" button which will pull the new data before pushing to users' calendars.

Once you are happy with the results of your testing - to launch to your community it is as simple as taking your flow out of Pilot mode. Here is a help article with tips for launching to your community.
